Minutes of the 5th Meeting

MEETING CALLED TO ORDER

The Chairman, LMF Tr. Rakesh Ramachandran called the 363^rd meeting (5^th of the tabling year 2009-2010) to order raising a toast to the President, Republic of India and to our sponsor table, GCRT102.

AIMS AND OBJECTIVES

LMF Tr. Arun Mookken (GCRT102) read the Aims and Objectives of Round Table.

Tr. Paolo George (GCRT102) was appointed the Sergeant-at-arms for the meeting.

WELCOME

LMF Tr. Rakesh Ramachandran (CBRT131) – Table Chairman welcomed HT Sq. Lg. Kurian Jose (CBRT131), Tablers of CRT71, GCRT102 & CBRT131 to the Business Meet.

LMF Tr. Rakesh Ramachandran (CBRT131) – Table Chairman proposed that all matters be deferred, except those pertaining to the Area 1 AGM that the Tables of Cochin is hosting. This was seconded by LMF Tr. Cherian K P.

MATTERS ARISING THEREFROM NOT COVERED ELSEWHERE (Area 1 AGM)

The Area 1 AGM Convenor, LMF Tr. Deepak Narendran (CRT71) gave a brief into the plans being set into motion and requested the Team Leaders to give their report.

Accomodation: Tr. Gijo George (GCRT102) mentioned that all rooms & cottages in Ramada are full, while 5 remain at Riviera Suites. He also informed that the management of Ramada requested all cottages be vacated by 12:00pm on Sunday, 13^th Sep 2009.

Registration: Tr. George Thomas (GCRT102) mentioned that registrations were good with about 400 heads. He added that the registration counters at the venue have to be manned effectively to ensure smooth registrations for those already registered and for spot registrations.

Ladies Tea Party: Reshmi, spouse of LMF Tr. Deepak Narendran (CRT71) revealed intimate secrets of the events planned for the Ladies Tea Party. She also requested the help of the ladies of all the Cochin Tables for the Fashion Show & the Crèche.

AEX Meet: LMF Tr. Deepu Paul (CRT71) mentioned that the 4^th AEX Meet will be on the evening of 11^th Sep 2009 after which the optional dinner commences. The venue for the 4^th AEX Meet & the Optional Dinner will be the Yacht Club.

Prizes: LMF Tr. Faraz Javeed (CBRT131) mentioned that prizes for the various events on Sunday, 13^th Sep 2009 have been collected thanks to the efforts by the Cochin Tables.

Formal AGM Meet: Sq. Lg. Lenny Abrao (GCRT102) informed that the formal AGM sessions will start at 1:00pm sharp on 12^th Sep 2009 and at 11:00am sharp on 13^th Sep 2009.

Finance: LMF Tr. Sooraj Ramachandran (GCRT102) mentioned that after taking into consideration the present registration amount, the sponsorships & all possible expenses, there seems to be a shortfall of about INR.1 lakh. He calmed everyone by adding that the amount is liable to change once the partial registrations, spot registrations and sale of memorabilia kicks in.

Memorabilia: Sq. Lg. Kurian Jose (CBRT131) mentioned that the Area 1 AGM T-Shirts would be arriving on 10^th Sep 2009 and the proposed selling price is INR.300. He requested all Cochin Tablers to wear the NOW T-Shirt for the formal AGM session on Saturday, 12^th Sep 2009. He added that the NOW lapel pins have also been arranged.

Beverages: LMF Tr. Deepak Narendran (CRT71) mentioned that all beverages for all age groups have been arranged and that complete sale of beverages would be based on the coupon system. There would be separate counters for the sale of coupons and beverages.

Entertainment: Tr. Ravishankar (GCRT102) mentioned that there are 6 participants for the skit. Each team would be given a time of 5 minutes to perform on the topic “Bachans versus Khans”. Apart from that, the tables of Cochin will also perform a skit to enlighten the visitors on the AGM theme “NOW”. He also added that there would be a caricaturist making rounds doing free caricatures for all interested.

Décor, Sound & Lighting: LMF Tr. Rakesh Ramachandran (CBRT131) mentioned that all necessary décor, sound and lighting equipments have been arranged. For the Optional Dinner night on 11^th Sep 2009, Colin & Charles will play melodies to set the mood for the evening and the Area 1 AGM. On the 12^th the DJ will play music in tandem with live violin, flute and percussion players giving a zest to the evening with an after party planned during the early hours of the next day. On Sunday, 13^th Sep 2009 live music will be played on the AGM hall prior to the meeting after which they will move to the pool area for the finale. Tr. Naveen Lukose (GCRT102) added that there will be 2 beverage counters servicing all visitors to the Area 1 AGM.

Food: LMF Tr. Joemon Joseph (CRT71) mentioned that he has gone through the food items that will be served for every meal of the Area 1 AGM and has personally tasted them to ensure quality with strict adherence to cleanliness.

Transportation: LMF Tr. Satish Pratap (CRT71) mentioned that all arrangements for the transportation has been finalized. There would be pickup from railway stations & airports for those requesting it. There would also be a link between the AGM venue and other accommodation sites for visitors.

Conclusion: LMF Tr. Deepak Narendran (CRT71) thanked all the team leaders and requested them to encourage their team members to adhere to all plans so as to make the visitors feel at home & at ease. He added that without the support of each and every Cochin Tabler, we will falter to deliver what we promised Area 1. Tr. Sejoe Jose (GCRT102) requested all to come in the required dress code and on time for the AGM.

The Sergeant-at-arms for the meeting went directly into the collection of fines as the crowd was getting restless. Needless to say, the amount collected as fines and sunshine, if any, were not divulged.
